Administrative Assistant-Hayward, CA

POSITION SUMMARY

The Administrative Assistant is responsible for providing administrative and clerical support for the daily office activities and staff.  This position interfaces with the public in a customer relations capacity as the Receptionist greets visitors, answers incoming telephone lines, and redirect calls accordingly.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

  • Receives telephone communication from clients and referral sources, including screening, directing calls, patient management and taking messages as appropriate
  • Enter patient information and documentation into CPR+ database
  • Maintains Federal Express database, issuing labels for outgoing shipments
  • Assists staff with copying, creating forms and other special projects, as directed
  • Faxing, scanning, and data entry projects
  • Maintains daily Visitor Log, issues temporary visitor badges and collects upon exit from building
  • Monitors office supply levels and the placing of appropriate orders as approved by the Corporate Office Manager
  • Develops and maintains a working knowledge of the Company’s products and services
  • Acts as liaison between specific vendors (i.e., cleaning crew, vending machine supplier, copier and printer repairs, etc.)
  • Other duties as assigned

Skills/Qualifications Required

  • High School Diploma or Equivalent
  • 2 years of experience in an office setting/environment
  • Proficient in Microsoft Suite (Excel, Word, PowerPoint, Outlook) a must
  • Professionalism, Problem Solving, Supply Management, and Inventory Control
  • Strong communication skills, both oral and written
  • Office Management and experience working with Leadership a plus
  • CPR+ experience a plus
  • Healthcare or Medical field background a plus

 

 

 

REQUIREMENTS: 

  • Strong organizational skills and demonstrated leadership skills required.
  • Strong creativity, judgment, imagination, enthusiasm and customer-service focus are desired.
  • Proficiency in Microsoft Office is required.
