ADMINISTRATIVE ASSISTANT - HOUSTON, TX

POSITION SUMMARY

The Administrative Assistant is responsible for providing administrative and clerical support for the daily office activities and staff.  This position interfaces with the public in a customer relations capacity as the Receptionist greets visitors, answers incoming telephone lines, and redirect calls accordingly.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Manage facilities projects relative to vendor interactions, proposals, coordination and completion
  • Work to establish national pricing with selected vendors and ensure that executed agreements are on file and up-to-date
  • Back up to and management of the Office Assistant
  • Performs duties for the Marketing department including mail merges, document formatting using Publisher and Word, editing marketing material using Adobe Acrobat, managing spreadsheets using Excel.
  • Prepares tradeshow shipments/packages sales materials
  • Performs duties for the Human Resources department including data entry (HRIS & Payroll), filing of confidential documents
  • Supporting the Recruiting function
  • Maintain organizational charts and job description database
  • Perform duties for the Reimbursement department including data entry of payer contracts into billing system
  • Other duties as assigned

QUALIFICATIONS

  • Minimum 3 years administrative experience, preferably in office management
  • Minimum 2 years supervisory experience
  • High School Diploma or Equivalent, BA preferred
  • Proficiency in Microsoft Office Suite 
  • Excellent writing and communication skills
  • SalesForce.com experience a plus
  • Human Resources & Marketing experience a plus
  • Healthcare or Medical field background a plus
